Management of Personal Data Associated to the Participation to ICAST 2025, the 34th International Conference on Adaptive Structures and Technologies

After visiting the website data relating to identified or identifiable natural persons may be processed.

Personal Data Processed

The data are collected according to the forms reported in the registration and the submission forms.

Purposes of the Processing Legal Basis and Data Retention Period

  1. Collection of personal data
    1. Data are recorded with the aim of giving a reference to the general reader of the abstracts, the papers and the posters, according to the traditional way of presenting scientific publication.
    2. Furthermore, data are collected with the aim of invoicing correctly after the registration and the payment.
    3. Data related to the dietary preferences are necessary in order to assure the proper treatment to the participating person and the correct access to the food, provided during the conference. 
  2. Storing of Personal Data
    1. Data related to publication are maintained on the publication itself, and they will be not deleted until the publication is present on the site.
    2. Data related to the invoicing will be stored until the legal term for the preservation of those data is terminated.
    3. Data related to dietary preferences will be eliminated after no more than seven days from the end of the conference. 
    4. The legal basis that legitimises the processing of personal data is the Data Controller's legitimate interest and the need to provided the requested service to the subject.
  3. Registration to the Conference
    1. The data is processed so as to fulfil a registration request or a publication (poster/paper) submission sent by the data subject, by filling in the registration form or the submission form in the proper Website (https://icast2025.cira.it) sections.
    2. The legal basis of this processing activity is the need to fulfil requests made by the data subject, so as to improve the service provided to the user and to satisfy the expectations of the same. The data shall be stored for the duration of the event with a seven days margin.

Provision of Data

The provision of data for the purposes as of the following letters:

  1. is compulsory in order to guarantee the provision of feedback to the data subject with regards to requests made;
  2. is compulsory in order to guarantee the provision of feedback to the data subject with regards to requests made;
  3. is compulsory in order to enable the data subject to register to participate in the events organised by the Data Controller

Data Recipients (this section is available at the main section and herein reported for the sake of clarity)

  1. Your personal data shall be processed by employees and/or collaborators of the Data Controller who have received appropriate operational instructions and have been expressly authorised to carry out data processing activities.
  2. Your data may be communicated to individuals, autonomous Data Controllers, for example, in case, the communication must be given due to the fulfilment of legal or regulatory obligations or if such is of significant public interest.
  3. The data may also be processed, on behalf of the Company, by external individuals appointed as external Data Processing Officers in accordance with Art. 28 of the Regulation, for example, Companies that deal with the development and maintenance of the web platform.

  1. In relation to the processing of personal data carried out by the Data Controller, you can request the same to grant you access data that regards you, the relative erasure, the rectification of incorrect data, the integration of incomplete data, the restriction of data processing activities in the cases foreseen by Art. 18 of the GDPR, as well as the opposition to data processing, for reasons linked to a particular situation, in the case of the Data Controller's legitimate interest.
  2. In the case in which the processing activities are based on consent and have been carried out using automated means, you have the right to receive your data in a structured, commonly-used format, legible by an automatic device and, if it is deemed technically feasible, to transmit it to another Data Controller without any hindrance.
  3. At any time whatsoever, you can lodge a complaint with both the Italian Data Protection Authority, and resort to using any other judicial remedy foreseen by applicable legislation.
